'sent' area for users to review any sent/ad hoc comms within the platform without having to go person by person.
This has created an issue that a user has sent bulk ad hoc comms and then we have been unable to identify who has received these bulk comms following.
The user used the following steps to send bulk ad hoc comms -
Click on ‘Candidates’.
Select ‘Candidates’.
Click on 'My Applicants'.
Click the checkboxes next to each candidate to send the email to.
Support confirmed that here is not a combined log for this, however if you go to a Candidate, there is a communications tab that will show all emails sent related to this candidate. Also there is an Activities tab on the individual applications where the communications are recorded. However, if you don't already know the candidate details you are unable to review the comms they have received.
This was then raised with development who confirmed that to be able to do this they would need either once example candidate who received the email, or the Date / Time it was sent. Due to the way that communications are recorded in the background we would need at least one of these to find the email, and any other ones actions via the same process.
In this circumstance, the user had to go through hundreds of candidates to check whether or not they had been included in the ad hoc comms sent as no alternative was provided.
When searching the knowledge base on this, I can see support have also confirmed the option to turn off ad hoc communications is not available (https://accessgroup.my.site.com/Support/s/article/Access-Recruit-How-to-remove-the-option-to-send-Ad-Hoc-comunications). If we cannot monitor the ad hoc comms sent the option to remove this functionality should definitely at least be available.
Similarly, a user facing 'sent' log so Hiring Managers could review their sent comms would be beneficial too. We often find managers are anxious about using transitions with auto-emails without the functionality to review first, such as with the regret transitions. Having a 'sent' inbox would resolve this.
